Fresenius Medical Care Canada is currently recruiting for a full-time Contract Specialist on a 1-year contract, working out of our head office in Richmond Hill, Ontario. The position entails the following:

PURPOSE AND SCOPE:
Supports our mission, vision, core values, and customer service philosophy. Adheres to our Compliance Program, including following all regulatory and division/company policy requirements.

Under the direction of the Manager Contract Management, this individual is responsible for all customer proposals and contracts administration. This individual will work within the Sales department and collaborate closely with the Marketing and Finance department.

DUTIES / ACTIVITIES:


CUSTOMER SERVICE:

  • Responsible for driving our company culture through values and customer service standards.
  • Accountable for outstanding customer service to all external and internal customers.
  • Develops and maintains effective relationships through effective and timely communication.
  • Takes the initiative and action to respond, resolve, and follow up regarding customer service issues with all customers in a timely manner.


PRINCIPAL RESPONSIBILITIES AND DUTIES:

  • Monitor and search for proposal or bid opportunities that are posted by customers across Canada and update sales and Senior Management of these opportunities on a regular basis.
  • Review RFP documents and contract templates for legal requirements and contractual obligations.
  • Coordinate with other departments and ensure that all proposal responses are complete, of high quality, meet all RFP requirements and are delivered to and received by the customer on time.
  • Create templates for RFP responses that can be accessed by all sales and marketing personnel.
  • Be responsible for forwarding all RFP, Contract Terms and Conditions and RFP responses to legal counsel for review and approval or follow steps to ensure adherence to FMCC and Global Compliance Policies.
  • Negotiate terms and conditions of contracts with customers and with manager’s and legal counsel’s input and guidance.
  • Write proposals and complete the contract and quote templates professionally in English and French, sometimes in conjunction with the Territory Manager, VP Sales and Marketing, Marketing/Product Managers, VP Finance and Manager Contract Management.
  • Create and/or manage an expiry process to ensure contracts are addressed prior to their expiration.
  • Create and/or manage a Contract Tracking System to track the expiry of all contracts and proposals (both Fresenius and the competition) and generate reports for the field and Senior Management which show contract expiry dates, product categories, the value of the contracts and market shares.
  • Be responsible for entering and maintaining all contract data including pricing into all the software systems (ie AX and Sugar/CRM).
  • Analyze and manage contract queries, support the Territory Managers (TM) relative to contract questions and opportunities and be the expert resource regarding the contract.
  • Review, coordinate and respond to pricing discrepancies.
  • Build relationships with Group Purchasing Organizations, Shared Service Organizations and customers.
  • File and archive all contracts, amendments, backup, correspondence, approvals and RFPs within the corporate office, ensuring that the data in the file is easily accessible and is the most current.
  • Ensure that a financial analysis is completed for each RFP and for each quote where applicable and that the process adheres to SOPs and compliance policies.
  • Create contract summaries and ensure contract execution in accordance with the contract terms.
  • Proactively review and revise department processes with management approval to ensure compliance with company policies and to improve efficiencies.
  • Complete the quote process steps as per applicable SOPs, including quote receipt, amendment creation and any required system updates.
  • Be backup to the department teammates.
  • Other duties and projects as assigned.

EDUCATION:

  • Post-secondary education in business administration, marketing or sales or commensurate experience is required.
  • Certification or formal education in business writing an asset

EXPERIENCE AND REQUIRED SKILLS:

  • A minimum of three (3) years’ experience as a contract specialist or similar role in an office environment.
  • Preferred to be fluently bilingual (French/English, oral and written)
  • Excellent communication skills both oral and written with internal and external customers.
  • Proficiency in Microsoft Office Suite and database systems required
  • Excellent attention to detail required
  • Ability to multitask, prioritize a variety of tasks and meet deadlines
  • Strong team player
  • Customer-focused and able to assess implications of actions
  • Understanding of the healthcare industry is desired.
  • CRM and/or AX and/or ERP experience preferred

Provides superior service and product support to Canadian customers as assigned. Functions as a hemodialysis (HD), peritoneal dialysis (PD) and pharmaceutical resource, as required.

DUTIES / ACTIVITIES:


CUSTOMER SERVICE:

  • Accountable for outstanding customer service to all external and internal customers.
  • Develops and maintains effective relationships through effective and timely communication.

PRINCIPAL RESPONSIBILITIES AND DUTIES:

  • Conduct an initial setup for hemodialysis and/or peritoneal dialysis delivery system clinical evaluations.
  • Provide ongoing on-site clinical support to staff evaluating our dialysis delivery systems by demonstrating how they should be used to provide safe and effective patient care.
  • Work closely with respective Territory Manager, respond to questions and concerns about our dialysis delivery systems.
  • Assist in the training and orientation of new Fresenius employees.

Consultant Support

  • Assist in the creation of new training tools for customers and staff.
  • Provide staff education/orientation to new Territory Managers, Technologists and Customer Service Representatives as required.
  • Assist customers in developing continuous quality improvement (CQI) tools and programs.
  • Attend local, regional, national and international conferences and seminars to remain up to date with latest products, services and research.

Education

  • Support the teaching of home hemodialysis or peritoneal dialysis patients as directed.
  • Develop and/or provide feedback for the design of educational tools.
  • Provide clinical expertise to assist unit staff to measure specific patient outcomes, utilizing our CQI process.
  • Other duties and projects as assigned.

Must be able to physically cover and maintain regular face-to-face contact with customers over a large geographic area. Extensive travel by automobile, train or airplane is often necessary to cover the assigned territory and includes overnight stays. Contact with customers by phone alone is not adequate. On some occasions, consecutive weeks of training might prevent travel home over the weekend in between weeks in consideration of the local travel restrictions and/or availability. Occasional weekend work is necessary to support trade show events, customer training and support, and equipment evaluations. Lifting requirements include setting up portable booths, occasional lifting and transporting medical equipment and supplies for purposes of in-servicing customers.


EDUCATION:

  • Bachelor of Science Degree in Nursing (BScN)

EXPERIENCE AND REQUIRED SKILLS:

  • Current Provincial Registered Nurse Certification of Competence
  • CNA Certification in Nephrology Nursing (or to be completed within one year from hire date)
  • Current hemodialysis or peritoneal dialysis experience is mandatory
  • Current experience in patient and/or staff teaching
  • Demonstrated ability to interact with all members of the renal team
  • Computer literacy in Microsoft Office and applications
  • Ability to travel extensively and work flexible hours
  • Fluent in written and spoken French, mandatory, when working in the Quebec region
